We are committed to safeguarding the privacy of our website visitors; in this policy we explain how we will treat your personal information.

By using our website and agreeing to this policy, you consent to our use of cookies in accordance with the terms of this policy.

How information about you will be used

  • When registering we collect your first name, last name and email address so you can log in be recognised by other persons on the website as landlord, tenant, agent or property manager.
  • We ask for your mobile number but this is optional on registration. We don't call or text you directly but would pass your number and contact details onto a third party if you raise an issue, so that they may call you to discuss and arrange an inspection or emergency repair. You will be asked to confirm or enter your number the first time you use this feature.
  • Your information is not retained by third parties if you do not engage their services.
  • Your password is securely encrypted in our database and we have no way of knowing what it is. If you forget your password, you can request a reset and will be emailed instructions to carry out this process.
  • If you log into the platform using our mobile apps, we will associate your devices to your account in order to send push notifications. The apps will also request camera, contacts and document storage access to assist in the function of the platform, and you can manage these permissions on your device's settings. None are mandatory but they're useful!
  • Cookies are required to make our site work, so once you authenticate it implies you're ok with them, and if you disable them, the site may become unpredictably buggy.
  • Users log into our system under a role, such as a landlord, tenant, or a manager. Users may log in under multiple roles... think someone who is both a landlord but rents a flat too.
  • Properties created under different roles grant different privileges and options to those roles: landlords and managers can invite tenants for example, or landlords can nominate a manager.
  • Access for each property is managed on a per-user and per-role basis so users can't see properties they are not connected to, nor can they do things outside of their role's permissions to when they do connect.
  • Raising issues, signing documents and other inter-role activities is a process whereby personal information needs to flow between people and sometimes third parties.
  • Some documents that landlords and managers add to the system must be shared with tenants (such as tenancy agreements, Gas Safety certificates...), these are securely stored online and made available only to authorised users who are entitled to see them. Other documents are private (eg: insurance documents) and these can be stored but will not be shared with other users. We do not mine these files for information.
  • We store all transactions and events within a property and make it transparently and equally available to tenants, landlords and managers who are connected to said property using the same privacy and access controls as outlined above.
  • We will use your email and push notifications (if enabled) to send alerts and warnings in line with the expected functionality of the site (eg: telling you a message arrived, or a document is up for renewal, etc...).
  • Finally, we may from time to time send an email to let you know of new features, updates and promotions by ourselves or our 3rd party partners. You can opt in and out of these at any time.

means a registered User using the Landlord portal of the Platform.
means a landlord of a tenant who has not registered with GetRentr and who has not agreed to the GetRentr Terms and Conditions and Privacy Policy.
means a registered User using the Tenant portal of the Platform
means a tenant of a Landlord user who has not registered with GetRentr and who has not agreed to the GetRentr Terms and Conditions and Privacy Policy.
means any service acquired or purchased on the Platform such as tradesman services or insurance.
means any fault which threatens further harm to persons or property
means any repair which falls outside of "Emergency repair"
means any periodic service requiring certification for compliance, such as, but not limited to, Gas Safety Certificates, Electrical Safety Certificates, etc.

Collecting Personal Information

We may collect, store and use the following kinds of personal information:

  1. information about your computer and about your visits to and use of this website (including your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths);

  2. information that you provide to us when registering with our website (including your email address and contact number);

  3. information that you provide when completing your profile on our website (including your name, profile pictures, gender, date of birth, relationship status);

  4. information that you provide to us for the purpose of subscribing to our email notifications and/or newsletters (including your name and email address);

  5. information that you provide to us when using the services on our website, or that is generated in the course of the use of those services (including the timing, frequency and pattern of service use);

  6. information relating to any purchases you make of our services or any other transactions that you enter into through our website (including your name, address, telephone number and email address);

Personal information submitted to us through our website will be used for the purposes specified in this policy or on the relevant pages of the website.

  1. to enable you to access and use the Platform;
  2. to enable you to communicate with other Users;
  3. enable your use of the services available on our platform;
  4. supply to you services purchased through our platform;
  5. send statements, invoices and payment reminders to you, and collect payments from you;
  6. to send you service, support and administrative messages, reminders, technical notices, updates, security alerts, and information requested by you
  7. send you our email newsletter, if you have requested it (you can inform us at any time if you no longer require the newsletter);
  8. provide third parties with statistical information about our users (but those third parties will not be able to identify any individual user from that information);
  9. to operate, protect, improve and optimize the Platform, GetRentr's business, and our users' experience, such as to perform analytics, conduct research, personalize or otherwise customize your experience, and to provide customer service;
  10. to help create and maintain a trusted and safer environment on the Platform and Services, such as detection and prevention of actual and potential fraud and other harmful activity, conducting investigations and risk assessments, enforcing our Terms and policies, verifying the address of your listings, verifying any identifications provided by you (including by comparing the photo on that identification to another photo you provide to us), and conducting checks against databases and information sources (such as but not limited to public government databases) for fraud detection and prevention, risk assessment and harm prevention purposes. In this regard, we may do any or all of the foregoing with or without further notifying you;
  11. to send you marketing, advertising, and promotional messages and other information that may be of interest to you, including information about GetRentr, our services, or general promotions for partner campaigns and services. You can unsubscribe or opt-out from receiving these communications in your settings (in the "Account" section) when you login to your GetRentr Account;
  12. to administer referral programs, rewards, surveys, sweepstakes, contests, or other promotional activities or events sponsored or managed by GetRentr or our Third Party business partners; and
  13. to comply with our legal obligations, resolve any disputes that we may have with any of our users, and enforce our agreements with Third Parties.

If you submit personal information for publication on our website, we will publish and otherwise use that information in accordance with the licence you grant to us.

Your privacy settings can be used to limit the publication of your information on our website, and can be adjusted using privacy controls on the website.

We will not, without your express consent, supply your personal information to any third party for the purpose of their or any other third party's direct marketing.

You confirm that if you invite other users to connect with you on GetRentr using their email address that you have permission to use their email address for these purposes.

Disclosing personal information

We may disclose your personal information to any of our employees, officers, insurers, professional advisers, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes set out in this policy.

We may disclose your personal information to any member of our group of companies (this means our subsidiaries, our ultimate holding company and all its subsidiaries) insofar as reasonably necessary for the purposes set out in this policy.

We may also publish, disclose and use Aggregated Information and non-personal information for industry and market analysis, demographic profiling, marketing and advertising, and other business purposes.

You acknowledge, consent and agree that GetRentr may access, preserve and disclose your account information if required to do so by law or in a good faith belief that such access, preservation or disclosure is reasonably necessary (a) to respond to claims asserted against GetRentr; (b) to comply with legal process (for example, subpoenas and warrants), including legal process associated with national security and law enforcement; (c) to enforce and administer our agreements with users, such as the Terms of Service and this Privacy Policy; (d) for fraud prevention, risk assessment, investigation, customer support, product development and de-bugging purposes; or (e) to protect the rights, property or personal.

We may also disclose your personal information:

  1. to the purchaser (or prospective purchaser) of any business or asset that we are (or are contemplating) selling; and
  2. to any person who we reasonably believe may apply to a court or other competent authority for disclosure of that personal information where, in our reasonable opinion, such court or authority would be reasonably likely to order disclosure of that personal information.

We will use commercially reasonable efforts to notify users about law enforcement requests for their data unless:

  1. providing notice is prohibited by the legal process itself, by court order we receive, or by applicable law; or
  2. we believe that providing notice would (a) be futile, (b) be ineffective, or (c) would create a risk of injury or bodily harm to an individual or group, or (d) create or increase a risk of fraud upon GetRentr's property, its Members, the Platform, Application, or Services (collectively, "Risk Scenarios").

In instances where GetRentr complies with legal requests for user data without notice to the user for the reasons described above, GetRentr will use commercially reasonable efforts to notify that user about the request after the fact if we determine in good faith that we are no longer legally prohibited from doing so and that no Risk Scenarios apply.

Other people's Personal Information

As a Landlord User, you may invite a Tenant User to a Property. We will require this Tenant's name and email address in order to bring them onto the GetRentr platform.

Similarly, as a Tenant User, you may invite a Landlord User to the platform in order to set up a property and begin communications. We will require this Landlord's name and email, and the rented property's address and postcode in order to bring them onto the GetRentr platform.

This information will be held without the Subject's consent for a reasonable period of time while we process the invitation and give the user the option of agreeing to our Terms and Conditions. Users and contact information gathered in this way will be excluded from promotional marketing.

When creating a Tenancy on the GetRentr platform, we provide an opt-in that allows Landlord Users to assert that their tenancy agreement has a provision which protects all Tenant information under the General Data Protection Regulation (GDPR). If this assertion is made, this will allow Service Providers to request Tenant information for non-emergency repairs.

Booking Services on the Platform

If you book a trade service through the Platform you consent to allow GetRentr to pass on the contact details of all Landlord Users and Tenant Users and information about the Property to our Service Provider partners in order that they may contact you to discuss the details of the Service request.

Inactive Tenants' details will not automatically be not be passed on. They will however be anonymously displayed to the Service Provider as a person at the property who exists but whose information is protected.

In the event of an Emergency repair required at the property:

  1. If an emergency repair needs to be carried out and the Landlord User will not be at the property at the time of the call out, Service Providers may request contact details of both Tenant Users and Inactive Tenants at the property for the purpose of arranging the attendance. Inactive Tenant's details will be requested over the phone by the Service Provider.

In the event of a Non-Emergency repair or Inspection:

  1. If the Landlord User has a clause in the Tenancy Agreement that states when and how their Tenants' details will be given out under the General Data Protection Regulation (GDPR), and that this includes the purposes of Service Providers carrying out inspections, then this will be recorded within the GetRentr app. Service Providers will be informed if this clause exists within the Tenancy Agreement, and Service Providers will accept these details from the Landlord User.
  2. If the Landlord User does not have this clause in the Tenancy Agreement, Service Providers will not accept the contact details of Inactive Tenants from the Landlord User. Service Providers will only have access to Tenant Users' information. If there are no Tenant Users at the property, the Service Providers will only make arrangements with the Landlord User.

In all cases, Landlord and Tenant information will be kept by the Service Provider for a reasonable amount of time for billing, to carry out the Service and an option for Feedback and Complaints procedure. This will not constitute an opt-in for marketing purposes.

International data transfers

Information that we collect may be stored and processed in and transferred between any of the countries in which we operate in order to enable us to use the information in accordance with this policy.

Information that we collect may be transferred to the following countries which do not have data protection laws equivalent to those in force in the European Economic Area: the United States of America.

Personal information that you publish on our website or submit for publication on our website may be available, via the Internet, around the world. We cannot prevent the use or misuse of such information by others.

You expressly agree to the transfers of personal information described in this section.

Retaining personal information

This Section sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal information.

Third party integrations

We work with a number of third party partners to provide the functionality of our Service. This section describes these relationships and how your information is processed.

National Landlords Association Ltd. (NLA)

NLA Licensing 365 project is a joint partnership between the NLA and the Company. The NLA's services are promoted on the GetRentr website to Users who can voluntarily sign up to the NLA from within GetRentr's Services.

NLA Members are invited to join GetRentr on the NLA website and, depending on their membership type, will be given a number of properties to monitor for compliance as part of the NLA Licensing 365 Service, as described in our Terms and Conditions.

In both scenarios, data is passed between GetRentr and the NLA from a User request to confirm their identity and membership each Company or to purchase Services. For Users of GetRentr who confirm their NLA membership, GetRentr will periodically check that the NLA membership is still valid through an automated request.
